How to reduce no-shows at your studio
Practical ways for gyms, yoga studios and clinics to cut no-shows: clear cancellation windows, saved cards, reminders and fair late fees.
Why no-shows hurt more than cancellations
A cancelled spot can be refilled from the waitlist. A no-show is a spot nobody else could book, a coach who still turned up and a room that still needed heating or cleaning. For small studios, three or four no-shows a week can be the difference between a full class making money and losing it.
Set one clear cancellation window
Pick a window athletes can remember: 12 hours for classes and 24 hours for one-to-one sessions works for most studios. Show it at the moment of booking, not buried in the terms. In AthleteHub the window is set once for the business, with optional overrides per service, and every booking screen shows the exact time free cancellation ends.
Save a card at booking, charge after the session
Asking for full payment up front puts people off booking. Taking nothing makes no-shows free. The middle ground is to save a card when someone books and charge only after the session ends: attended and no-show bookings are charged, cancellations inside the window are charged, and cancellations in time cost nothing. AthleteHub calls this autopilot charging.
Remind people, but not too often
One reminder the day before and one a couple of hours before is enough. Include the session time, the room and the cancellation deadline so the reminder doubles as the easiest way to cancel in time.
Keep late fees fair and waivable
Charge the full price for a late cancel or no-show, but give staff a one-tap way to waive it for genuine emergencies. A fair policy applied consistently gets far fewer complaints than an unpredictable one.
Track it every week
Look at no-shows and late cancels per session and per coach. If one early class has double the no-shows of the rest, move it or shorten the cancellation window for that service only.
Questions
What is a good cancellation window for a yoga studio?
12 hours for group classes and 24 hours for private sessions is a common, easy-to-remember choice.
Should I charge for no-shows?
Yes, if you told the athlete the policy when they booked and saved their card. Charge after the session and let staff waive genuine emergencies.
